Position Summary
KAI Enterprises is seeking a creative and skilled individual to join our growing marketing team. The ideal candidate will have exceptional leadership, communication, writing, graphics, design, and administrative skills to help lead our proposal and marketing efforts companywide and effectively coordinate our marketing strategy. As Senior Marketing Coordinator, you will work closely with the Director of Marketing and the Marketing Manager, contributing to the day-to-day operations of the department. In this role, you will be expected to manage multiple projects concurrently. You will be responsible for leading proposal responsibilities and delegating as needed. In addition to developing effective proposal responses, you will be leading marketing campaigns, collaborating with the marketing team to further develop the website, providing CRM and other marketing support. The ideal candidate is organized and creative and able lead exciting new projects with minimal supervision. The successful candidate will thrive in a hybrid work environment and collaborate with team members across different offices.

Essential Functions
- Marketing & Sales Support: Key support to Marketing and Business Development teams, actively involved in the weekly team meetings.
- Proposal and Presentation Support: Manages activities in the preparation of proposals, presentations for client meetings and project interviews, sales packets, SF330s, and submittals to meet established guidelines and target deadlines.
- Final Proposal Product: Responsible for final printing, binding, and delivery or electronic submission.
- Writing: Collaborate with technical staff in the writing and editing of resumes, project descriptions, technical documents, proposal narratives, etc.
- Marketing Materials: Develop and maintain marketing resources such as brochures, data sheets, project lists, and presentations.
- CRM Support: Maintain CRM databases, including maintenance of opportunities, projects, employees, clients, text library, contacts.
- People & Culture: Collaborate with HR department and oversee marketing involvement in the onboarding process for new hires.
- Photography and Graphics: Develop graphics and maintain photo files. Coordinate professional project photography and provide graphic and photography organization. Work with the marketing team to coordinate professional headshots.
- Social Media & Website: Support the Communication Specialist with social media platforms and assist in managing corporate websites, including site updates and blog posts.
- Email Marketing: Lead email marketing campaigns, e-newsletters, and special events.
- Contacts: Responsible for group mailings and maintaining contact lists.
- Award Submissions: Support the Marketing Manager in preparing award submissions.
- Event Coordination: Assist in organizing client and community outreach events, including conferences, career fairs, trade shows, golf outings, volunteer programs, etc.
- SharePoint Hub Site: Heavily involved in our SharePoint-based intranet platform, our private platform to share company resources and documentation.
- KAI Closet: Support the online apparel pop-up store.

Required Experience
- Equivalent of bachelor’s degree in marketing, communications, or related field.
- Experience in the production of proposals, marketing materials and graphics required.
- Experience in the AEC or real estate development industry required.
- Proficiency in Microsoft Word, PowerPoint, Excel, and Outlook.
- Familiarity with Adobe InDesign, Acrobat, Photoshop, Lightroom, and Illustrator preferred.
- Knowledge of email marketing tools like Constant Contact and Hootsuite is preferred.
- Experience with social media platforms such as LinkedIn, Facebook, YouTube, and Instagram preferred.
- Knowledge of web traffic monitoring tools like Google Analytics is a plus.
- Experience with CRM products like Unanet, Deltek, or Cosential is preferred.
